Refund Policy Purpose This Refund Policy sets out the terms and conditions under which Swiss Academy of Leadership and Management (“the Academy”) considers refunds of tuition fees and other charges. The policy is aligned with the principles commonly applied by internationally recognised awarding bodies and reflects standard practices used by international universities, including provisions relating to visa refusal. Scope This policy applies to all learners enrolled on programmes delivered by Swiss Academy of Leadership and Management, including programmes awarded or accredited by externally recognised awarding bodies, unless otherwise stated in writing. Definitions Tuition Fees : Fees charged for the delivery of an academic programme. Deposit : Any upfront payment made to secure a place on a programme. Enrolment Date : The date on which the learner formally enrols and is granted access to learning materials and/or classes. Cooling-Off Period : A statutory or institutional period during which a learner may withdraw without academic penalty. General Principles • All refund requests must be submitted in writing to the Academy. • Refunds are processed to the original payer using the original method of payment where possible. • Administrative, registration, and awarding body fees may be non-refundable where services have already been provided. • Refunds are normally processed within 28 working days of approval. Refunds Before Enrolment 1. Withdrawal Before Enrolment If a learner withdraws before the official enrolment date: Tuition fees paid will be refunded in full, minus any non-refundable deposit or administrative fees clearly stated at the time of offer. 2. Cooling-Off Period Where applicable, learners who withdraw within the cooling-off period (normally 14 days from acceptance or enrolment) are entitled to a full refund of tuition fees, less any reasonable administrative costs incurred. Refunds After Enrolment 1. Withdrawal After Enrolment If a learner withdraws after enrolment and commencement of the programme: • No refund will normally be made once teaching has commenced and access to learning resources has been provided. • In exceptional circumstances (e.g. serious illness), partial refunds may be considered at the Academy’s discretion, subject to evidence. 2. Non-Attendance Non-attendance or failure to engage with the programme does not constitute withdrawal and does not entitle the learner to a refund. Visa Refusal (International Learners) In line with standard university practice, the following applies where a learner requires a visa to study: 1. Visa Refusal Prior to Programme Start If a learner’s visa application is refused before the programme start date: • Tuition fees paid will be refunded, minus a reasonable administrative and registration fee. • Any non-refundable deposit, awarding body registration fees (including OTHM registration fees), and bank charges will be deducted. 2. Evidence Requirement To be eligible for a refund under this clause, the learner must: • Submit a written refund request within 14 days of receiving the visa refusal decision; and • Provide an official visa refusal letter issued by the relevant authority. 3. Exclusions No refund will be made where: • The visa refusal is due to fraudulent documentation or misrepresentation by the learner; • The learner fails to apply for a visa in a timely manner; • The learner is refused a visa after the programme has commenced. Programme Cancellation or Material Change If Swiss Academy cancels a programme or makes a material change that the learner reasonably considers unacceptable: Learners will be offered a full refund of tuition fees paid or an alternative programme of equivalent value. Complaints and Appeals Learners who are dissatisfied with a refund decision may submit an appeal in accordance with the Academy’s Complaints and Appeals Policy. Policy Review This policy is reviewed annually to ensure continued alignment with higher education requirements and best practice, and relevant regulatory standards.
